Privacy Policy

1. Who we are

MasterRecruitment (“MasterRecruitment,” “we,” “us,” or “our”) is a golf recruiting service operated by John Cohorn as a sole proprietor based in Texas, United States. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. If you have questions, contact us at masterecuritment@gmail.com.

2. Who uses MasterRecruitment

Our service is designed for junior golfers pursuing college recruiting, many of whom are minors (under 18). Because of this, an account must be created, owned, and supervised by a parent or legal guardian, who agrees to this Policy and our Terms of Service on behalf of the athlete. We do not knowingly collect information from a child under 13, and we rely on the supervising parent or guardian to provide and consent to the athlete’s information.

3. Information we collect

We collect the following categories of information, which you provide directly:

  • Contact information: first and last name, email address, and phone number.
  • Academic information: graduation year, GPA, and SAT/ACT scores.
  • Athletic and golf information: scoring average, state and national junior golf rankings, city and state, playing strengths and weaknesses, practice and fitness habits, and a personal bio.
  • Social handle: Instagram handle, if you provide it.
  • Google account and Gmail data: if you choose to connect Gmail (see Section 5), your email address and the ability to send and read email in your connected account.
  • Payment information: if you subscribe to a paid plan, payments are handled by our processor, Stripe. We do not receive or store your full card number.
  • Usage information: basic technical data (such as log data) generated when you use the service, used to operate and secure the platform.

4. How we use your information

  • To create and manage your account and athlete profile.
  • To build target college lists and match you to college golf programs.
  • To generate personalized coach-outreach emails and follow-ups, and to analyze coach replies, which you review and control.
  • To provide recruiting guidance, a roadmap, and next-step recommendations.
  • To communicate with you about your account and the service.
  • To process payments and provide support.
  • To secure, maintain, and improve the platform, and to comply with law.

5. Google user data (Gmail) — Limited Use

Connecting Gmail is optional. If you connect it, we request permission to send email on your behalf (gmail.send) and to read your email (gmail.readonly) for the sole purpose of powering your coach outreach: sending the emails you approve from your own inbox and detecting coach replies so your recruiting pipeline stays up to date. We also access your Google account email address (userinfo.email) to identify the connected account.

Reply monitoring is limited to threads created by outreach sent through MasterRecruitment and messages from exact coach email addresses you previously contacted through the service. For matched replies, we access the sender, subject, date, Gmail message and thread identifiers, and up to 6,000 characters of the message body. We do not use Gmail access to read attachments, Gmail settings, or unrelated personal messages, and we do not modify or delete messages.

We send matched coach-reply text, along with relevant athlete, school, and recruiting context, to Anthropic (Claude) to produce the user-facing interest assessment, recommended next step, CRM update, and editable draft response. We store the matched reply text and resulting analysis in Supabase so they remain available in your recruiting pipeline. We do not use Gmail data to train or improve a generalized AI or machine-learning model.

MasterRecruitment’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Gmail access to provide and improve the coach-outreach features you request.
  • We do not use your Gmail data for advertising.
  • We do not sell your Gmail data.
  • We do not transfer your Gmail data to others except as needed to provide the service, comply with law, or as part of a merger or acquisition with equivalent protections.
  • We do not allow humans to read your email except with your consent, to comply with law, or for security.

You can use Disconnect & delete Gmail data in your dashboard at any time. This revokes Google access and deletes the OAuth credentials, matched Gmail reply text, and saved AI reply analyses held by MasterRecruitment, including generated event notes that quote a matched reply. Your athlete-entered records and sent-outreach history remain as part of your recruiting CRM; contact us to request deletion of your entire account and all remaining personal information. You can also revoke access from your Google Account permissions. Disconnecting stops all future Gmail access.

6. How we share information (service providers)

We do not sell your personal information. We share it only with service providers that help us operate the platform, under agreements that limit their use of the data:

  • Supabase — database hosting and authentication (stores your account data).
  • Anthropic (Claude) and OpenAI — AI processing to draft outreach emails and analyze coach replies.
  • Google — sending and reading email in your connected Gmail account, at your direction.
  • Resend — delivery of our system and account emails.
  • Stripe — payment processing.
  • Vercel — application hosting.

We may also disclose information to comply with law, enforce our terms, or protect the rights and safety of our users and the public.

7. Data retention

We keep your information for as long as your account is active or as needed to provide the service. You may request deletion of your account and personal information at any time by contacting masterecuritment@gmail.com. We may retain limited information as required by law or for legitimate business purposes such as security and fraud prevention.

8. Security

We use reasonable administrative and technical measures to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your choices and rights

  • Access, correct, or update your profile information from your dashboard.
  • Disconnect Gmail at any time (Section 5).
  • Request a copy or deletion of your personal information by emailing masterecuritment@gmail.com.
  • Close your account at any time.

10. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated through the service or by email.
